Overview of the 2025/2026 UPSA Hostel Booking Process

Continuing students from Level 200 to Level 400 who wish to reside in any of the university’s hostels must follow a new booking system introduced for the academic year.
Key things students must note:

  1. A new online hostel application system (HMS) will be used.
  2. All bookings and payments cover a full semester stay only.
  3. refundable damages deposit of ₵200 applies to all students.
  4. You will be billed automatically once you submit an application, so only apply if you intend to stay.
  5. Students must secure a bed before making any hostel payments.
  6. The HMS opens for applications on:
    Wednesday, 20th August 2025 at 10am.
  7. Payment deadline for all allocated beds is:
    Wednesday, 3rd September 2025.

Key Dates and Deadlines

1. Booking Application Opening

Date: Wednesday, 20th August 2025
Time: 10am sharp
Applicants are encouraged to apply early, as bed spaces are limited and allocated on a first-come, first-served basis.

2. Payment Deadline

Date: Wednesday, 3rd September 2025
Students who fail to pay before this deadline will automatically forfeit their allocated beds.

3. Check-In Schedule

For Level 300 and 400 Students

  • Check-in starts: Saturday, 5th September 2025 at 10am
  • Final check-in: Sunday, 13th September 2025
    Unregistered beds after this date will be reassigned.

For Level 200 Students

  • Check-in starts: Saturday, 27th September 2025 at 10am
  • Final check-in: Sunday, 5th October 2025
    All unregistered beds after the deadline will be allocated to other students.

Step-by-Step UPSA Hostel Application Process

A new HMS portal has been introduced for the 2025/2026 academic year. Follow this guide to complete your application successfully.

1. Accessing the Application Portal

Visit: www.upsahostels.com

On the homepage, you will see three main tabs:

  1. Current Booking Session
  2. Apply for Reservation
  3. Log In

Click on Apply for Reservation → Apply Now

2. Completing the Application Form

Fill in the required details carefully:

  • Student ID
  • Preferred hostel
  • Optional backup hostel (if your first choice is unavailable)
  • Preferred room type (2-in-1 or 4-in-1)
  • Accept the Hostels’ Terms and Conditions

Click Submit Form to proceed.

Important

Submitting an application does not guarantee a bed. Allocation is based on availability and eligibility.

3. Application Confirmation

Once your application is submitted successfully:

  • green notification will appear on the screen.
  • You will receive an email and SMS confirming your application status.
  • Ensure your official phone number and email in the UPSA Student Information System (USIS) are correct.
    If not, update your details at Academic Affairs, Room 7.

4. Allocation Confirmation

If you are allocated a bed:

  • You will receive an SMS and email with your hostel bill.
  • The bill will also appear in your UFIS portal.
  • Payment must be completed before the official deadline, or your bed will be forfeited.

5. Reservation Confirmation

Once payment is made into the university’s Access Bank account and disbursed in UFIS:

  • You will receive a confirmation message (SMS and email).
  • Your reservation is now fully secured.

Important Rules and Additional Information Students Must Know

To avoid penalties, loss of bed, or delayed check-in, students must comply with the following:

  1. Do not apply if you do not intend to stay.
    Application triggers automatic billing and you will be required to pay.
  2. Read the hostel rules and regulations on the UPSA website before applying.
  3. Secure a bed before making payments.
  4. All payments must be made into the university’s Access Bank account.
    No staff or student is authorized to collect hostel fees.
  5. No refunds are made for disbursed payments.
  6. Beds will be reassigned to other students if you miss the payment deadline.
  7. Impersonation attracts severe punishment.
  8. Management may reassign rooms when necessary.
  9. Students are responsible for their own electricity consumption in their rooms.
